How to organise enquiries from your website

Building a form is only half the job. The real question is what happens next: who sees the enquiry, where is it kept, and what stops it being forgotten?
Collect only what you need
Every extra field is friction for the visitor and data you must protect. A name, a contact method, the service needed and a short note are usually enough. Do not ask for ID numbers, full addresses or personal details you will not use.
Store the enquiry first
In a dependable setup the enquiry is saved to a database first and the notification is sent afterwards. The order matters: if the notification fails, the enquiry is still there.
Owner notifications and notification failures
The owner can be alerted to new enquiries by email or a channel such as Telegram. Every notification channel depends on an outside service and can occasionally fail, so a failed notification should never delete the enquiry — it should be recorded so the owner sees it when checking the list.
Nobody can guarantee 100% notification delivery. The most dependable habit is to check the enquiry list regularly.
Manual statuses
Simple statuses show who has been answered and who is waiting. For example:
- NEW — nobody has made contact yet.
- CONTACTED — the owner has spoken to the customer.
- CLOSED — work agreed or declined.
Owner-only reminders
If an enquiry stays NEW for a set time, the system can send the owner a single internal reminder. It does not message the customer and does not change the status automatically — the decision to follow up stays with the owner.
Privacy, minimum access and retention
Only the people who handle enquiries should have access to them. Do not share login details, and close accounts nobody uses. Decide in advance how long data is kept: deleting or anonymising closed enquiries after a set period reduces risk.
Concept example: Cleaning Quote Inbox
Cleaning Quote Inbox is a concept demo I built and tested to illustrate these principles: the enquiry is stored, the owner is notified, statuses are managed by hand, and an internal owner reminder runs for eligible enquiries. No customer messages are sent. It is not a measured business result or a real client deployment.
A system like this is not automatically included in the $171/$347 website packages. Real-world implementation is quoted by scope after a technical feasibility and security review.
Cleaning Quote Inbox — Concept / Portfolio Project
This is a concept / portfolio project — not a client success story.
Concept demo: internal owner reminders are active after 24 hours for eligible NEW requests. Old synthetic test requests are excluded; no customer messages are sent. Notifications depend on n8n service availability.
